Vehicle Agreement Feature Guide

Overview

The Vehicle Agreement feature in our software allows you to record and manage damage and other relevant information about a vehicle you're storing for a tenant. This tool provides a detailed way to note the condition of the vehicle upon arrival and ongoing, ensuring clear communication and documentation between you and your tenant.

Purpose

Similar to the process of renting a car, this feature lets you:

1. Conduct a visual walk-around of the vehicle.
2. Mark areas of damage directly on an image representation of a car.
3. Add detailed notes and attach photos to each marked area.
4. Capture the tenant’s signature for agreement and acknowledgment.

How to Use the Vehicle Agreement Feature

1. Accessing the Vehicle Agreement
   • On the Tenant’s page, navigate to the Unit and open the actions menu
   • Click Vehicle Agreement.
2. Performing a Walk-Around Inspection
   • Using the vehicle image on the screen, perform a walk-around inspection.
   • Tap or click on the specific areas of the vehicle where damage is present. Each selection will create a marker on the image.
3. Recording Damage Details

   • For each marker, a entry will appear for adding detailed information:

     

     • Notes: Describe the type and extent of the damage.
     • Photo Attachment: Optionally, take a photo of the damage or upload an existing photo to provide visual documentation.
4. Finalizing the Agreement
   • After marking all damage and recording notes, present the document to the tenant.
   • The tenant can sign directly on the document to confirm the agreement and acknowledge the noted condition of the vehicle.

Tips for Effective Use

• Be Thorough: Document all visible damage thoroughly to avoid disputes.
• Use Clear Photos: High-quality photos enhance the clarity of records and prevent misunderstandings.
• Review with Tenant: Walk through the document with the tenant before finalizing, allowing them to confirm each mark and note.
